- 2 or 3 inch three ring binder
- 8 Divider Tabs labeled as follows: Unit/Corporate Happenings, Income/Expenses, Party Info, Prospecting/Clients, Booking/Selling/Recruiting, Product Info, Contact Info, Notes
- 1-31 Tabs
- January-December Tabs
- A-Z Tabs
- White mailing envelopes (9 x 12 in) – one for each party scheduled
- Yellow mailing envelopes (9 x 12 in) – one for each month
How to use it!
After you have obtained the above supplies you are ready to “Build” your Binder! The following pages give you detailed instructions on how to and what to include under each section and tab. All items
highlighted can be dowloaded by clicking on them. This is designed to be your “office to go”. Take everywhere you go. Especially to your spa parties, it will have all the information you need at your fingertips. Remember that staying organized will help your business run smoothly. A few minutes each day will keep you on top of your paperwork! Enjoy!
Index/Reference Pages
Print the
index/reference pages and put them in the front of your binder. You can even customize the front page with your own name.
Daily Tabs 1-31
Use to organize what you need to do each day. Place the following forms under the appropriate day of the month. Move forms along each day as the tasks are accomplished. The 1-31 tabs are for the current month. The next section contains the Jan-Dec tabs to file the information for the months to come.
- Spa Escape Information on envelopes – 1 per party scheduled.
To make: Cut the flap off of a white mailing envelope (9x12in). Tape the Spa Summary Form to the front of the envelope. Punch holes in envelope to fit your 3 ring binder.
Use this to keep all of your information for each spa together. Use the checklist on the front of the envelope to keep track of hostess coaching and follow-up. Move the envelope along through the tabbed labels as you go. For example, if you talk to a hostess on the 5th and you need to call her again on the 12th, place her envelope behind the 12 tab. When the spa is over and the follow-up is finished, file the envelope in a filing cabinet by the month the spa was held.
- Guest List – when your hostess returns her guest list, keep it in the envelope until it is time to send out her invitations.
Invoices after party – After the party is held, file the invoices in the envelope. If you ever need to locate an invoice, it will be filed with the party that the order was placed.
- Daily/Weekly/Monthly To-Do List – use Expectation Pages to customize to your career level.
- Think about everything that you need to do to run your business successfully. Determine what day of the week you want to do each task. This will be your To-Do List. When your business is done for the day, close your notebook!
- Hour of Power Worksheets – keep notes when you do your weekly Hour of Power calls.
Monthly Tabs January-December
- Spa Escape Envelopes for bookings in future months.
Tab 1: Unit/Corporate Happenings
- Unit Awards Program - Make sure to check with your Director for additional award programs so you will know what you are working towards each month.
- Career Plan and Expectation Pages for current level and next level – Career Plan lists qualifications for achieving and maintaining each career level. Expectation Pages lists the activities that a consultant should do at each level. Keep a copy of your current level so you know where you are now and a copy of the next level so you know what you need to do to get there.
- Current Promotions that you are working towards – print out emails from BeautiControl or your Director about monthly or weekly promotions that are offered and file them under this section. When the promotion is over, throw the reminder away.
- Conference Call Schedule -Spajamatalk, Builders calls with your Director, etc. - Be sure to add the conference calls that your Director offers too! Include day, time, and phone number.
- My Flight Plan and Appendix – Your goals and dreams for your BeautiControl Business
Tab 2: Contact Information
- Website Login Info – Barrettteam, BeautiNet, BeautiTalk, ProPay
- My BeautiControl Family - phone numbers, email, mailing address of your up line Directors through National Executive Director
- Unit List – if you have BeautiNet Plus – print each month so you have your consultant’s info with you to make calls, etc. when you are not at home.
Tab 3: Booking/Prospecting/Clients
- 50 life list – names and phone numbers of those that you want to talk to about booking, selling, recruiting.
- Workshops and notes related to bookings.
- A-Z tabs
- Reorder Client Tracking Forms - filed by last name – includes name, phone numbers important notes on clients on clients that reorder from you. If you need to make a follow-up call to a client, place their form under the appropriate daily tab.
Tab 4: Spa Parties/Selling
- Hostess Plan/Hostess Letter – Keep a copy of your hostess plan in case you run into someone that is interested in booking a party. You can pull out your notebook and show them the rewards!
- Hostess Coaching Checklist – a checklist for coaching your hostess.
- Scripts – Hostess coaching, closing the spa, relaxation, etc. – Read over the scripts before you do each task so you can get your wording down. For example, before you call a hostess, read over the hostess coaching script so you will know what to say to her!
- Set Sheets – Keep a copy of your set sheets so you can show them to people if you are out and about!
- Spa Checklist (customize to reflect what you use) – what you pack for a spa
- Monthly Spa Escape Tracking Sheet - record results from spas each month to track your monthly sales, bookings, and recruits. Use this form to figure your monthly averages so you will know what area of your business you need to work on.

Tab 5: Recruiting
- Monthly recruiting specials

Tab 6: Income/Expenses
- Show Me the Money Forms on envelopes – One envelope per month. To make: Tape Show Me the Money forms to Yellow Envelope - one page taped to each side of envelope. Punch holes in envelope to fit your 3 ring binder. Use this envelope to keep track of all of your financial information for each month. Record expenses in appropriate heading on front of envelope and keep track of income on the back of the envelope. Keep receipts for the month in the envelope. At the beginning of each month, file the previous month’s envelope away and make a new envelope for the current month.
